About the Role:

As the Executive Assistant and Office Administrator, you will be responsible for providing the highest level of support to the CEO, Board of Directors, and overall organization. Reporting to the CEO, you’ll serve as the primary point of contact between the CEO, Board, internal team, and external partners and ensure that the administrative operations of the organization are running efficiently.

Some of the things you will do:

  • Manage calendar, schedule meetings for CEO and External Relations & Development and enter as appropriate into customer relationship database
  • Act as Board liaison, schedule all board and committee meetings, maintain board directory, and assist in preparation of all materials for board meetings 
  • Book and confirm travel arrangements, create itinerary for CEO following company travel policies and procedures 
  • Process monthly CEO expense reports with all credit card/cash receipts and submit to accounting 
  • Serve as the Administrator for Google (Cintrifuse email and distribution lists), Slack, Box.com, Cloverleaf and as a point of contact to assist/train other team members on these platforms as needed 
  • Onboard new hires to team-wide platforms, schedule new hires onboarding meetings with the team and maintain all onboarding materials
  • Assist with overall office needs: Manage supplies for the broader team including thank you cards and envelopes, business cards, printing needs, nametags, etc. managing seating arrangements, providing support (when necessary) to the Union Hall Services Team
  • Effectively able to handle conflicting priorities in a professional, solution-oriented manner including organizing own workflow and working with team members to accomplish tasks and balance workloads 
  • Proactively develop relationships with key internal/external client contacts to be the “go-to” team resource to either answer questions or direct to the appropriate person 
  • Proactively collaborate with internal team members including CFO and accounting team to recommend more cost-effective solutions, share knowledge of streamlining processes and procedures
  • Provide assistance to the CEO and his involvement in fundraising for the Cintrifuse Syndicate Fund, serve as an Access Person for the Fund
  • Facilitate weekly OneTeam meetings, organizing agenda and coordinating any team wide announcements
  • Participate in the company Culture Club, whose aim is to positively impact company culture and morale through employee appreciation, team building, and development opportunities.
  • Assist in coordination of team-wide events (i.e. happy hours, holiday party, work anniversaries, etc.)

What would really set you apart:

  • Worked in smaller company environment or ideally worked in or contributed to a startup

We’re looking for someone who has experience:

  • A.A. or Bachelor’s degree
  • 3-5 years of experience managing a C-level executive
  • Strong written and oral communication skills with an open, friendly demeanor
  • Team player who can effectively communicate with all levels of the organization
  • Flexible and thrives in a fast paced, changing environment
  • Demonstrated good judgment when dealing with sensitive information
  • Excellent attention to detail, time management, prioritization, multitasking, organizational skills 
  • Able to anticipate and respond to changing situations
  • Self-starter who is able to work independently
  • Proficiency with Google Workspace, Box.com, Slack, and Affinity (or experience working in another CRM)
